Privacy Policy

ShowroomSuites (“ShowroomSuites”, “we”, “us”) provides a software-as-a-service platform for showroom and remodeling businesses to manage leads, quotes, projects, deliveries, installations, invoicing and communications. This Privacy Policy explains how we collect, use, store, share and protect information when you use our service at this website and related applications (the “Service”).

• Account data: name, email, phone, organization, role, profile photo.
• Business data you create: leads, customers, projects, quotes, tasks, documents, notes, calendar events.
• Connected-account data (only if you connect them): email messages, calendar events, contacts, call logs and recordings, accounting records, website analytics. We only request the minimum scopes required for the features you enable.
• Technical data: IP address, browser, device, log and usage events for security and reliability.

• To operate, secure and improve the Service.
• To display your data inside your organization’s workspace.
• To send transactional notifications you request (assignments, replies, sync alerts).
• To detect, prevent and respond to abuse, fraud or security incidents.

We do not sell personal information and we do not use your business data to train generic AI models.

ShowroomSuites’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

• We only request Gmail, Google Calendar and Google Analytics scopes that the user has explicitly enabled.
• Data accessed via Google APIs is used solely to provide user-facing features within ShowroomSuites (inbox sync, calendar sync, analytics dashboards).
• We do not transfer this data to third parties except as required to provide the feature, comply with law, or with your explicit consent.
• We do not use Google user data for advertising and we do not allow humans to read it except for security investigations, abuse handling, to comply with applicable law, or with the user’s explicit consent.

When you connect Microsoft 365 or Outlook, we use Microsoft Graph with the minimum scopes needed for inbox and calendar sync. Tokens are encrypted at rest and revocable at any time from Integrations → Email accounts.

When you connect RingCentral, we access your call log, SMS log and (when permitted) recording metadata to attach communications to the right lead, customer or project. Recording playback streams from RingCentral on demand and is gated by your RingCentral permissions.

When you connect QuickBooks Online, we sync customers, invoices, payments and related accounting records to keep operations and accounting consistent. We only read or write the records required for the features you enable.

We share information only with:

• Other members of your organization, scoped by role and branch permissions.
• Sub-processors that help us run the Service (cloud hosting, email, error monitoring) under contractual data-protection terms.
• Authorities when legally required.

Business data is retained while your account is active. You can delete records at any time from inside the Service, and you can request deletion of your entire account by emailing the address below. Backups are purged on a rolling 30-day schedule.

Data is encrypted in transit (TLS) and at rest. Access is governed by row-level security, per-organization isolation and role-based permissions. We log security-relevant events and review them regularly.

• Disconnect any integration at any time from Integrations.
• Export your data on request.
• Request access, correction or deletion of personal information.

The Service is not directed to children under 16 and we do not knowingly collect their data.

We may update this policy. Material changes will be notified inside the Service or by email. Continued use after the effective date constitutes acceptance.
